You will be supporting our legal staff in all aspects of legal administration and reception work. You will need good communication skills and basic computer skills. This appointment will be made to complement the Administrative Support Team at Lloyds PR Solicitors which facilitates all the communication, information, IT requirements and accounting needs of the firm. This role will be centered at the Reception Desk with client management a priority. Other duties will require liaison with IT and Accounts department heads as the role develops and progresses. The candidate will report directly to the Managing Partner with day to day interaction and training from the main receptionist and support department heads. Administratively the appointee will be required to manage all postage and deliveries in and out, handle photocopying tasks and scanning requirements with training in electronic filing and data entry. Key functions will also include answering the telephone giving accurate responses and promptly taking and forwarding messages; monitor email accounts and respond accordingly and electronic diary management. Creating and maintaining good client relations will form the basis of this role, so a steady temperament and good interpersonal skills are essential. • The successful candidate will work from our newly refurbished reception area gaining experience in receiving clients; answering and screening calls; recording post in/out; faxing, scanning documents to disc, photocopying and archiving • To work in conjunction with the team to ensure all aspects of administrative support are appropriately covered. • Answering any telephone calls where necessary and ensuring messages are communicated to the relevant person. Retrieve any voicemail messages and pass to the relevant person. • Typing legal letters and correspondence/briefs • Responding to clients via e mail • Meet and greet clients visiting the office • Ensure accurate records are kept • Opening and distributing post. • Opening and closing legal files • To organise and maintain a comprehensive and confidential filing system. • To replenish stock of stationery/medical equipment/uniforms and any ad hoc orders upon request. • Maintain databases and records. • Ensure that confidentiality is maintained at all times (both in and out of working hours).
